What to put on a music invoice

  • Who and to whom. Your studio name, email and tax ID if you have one, and the client's details.
  • Invoice number. A simple running sequence (001, 002, 003) keeps your books and your client's in sync.
  • Dates. When it was issued and when it is due.
  • Services. One line per item: mix per song, mastering per song, extra revision rounds, stems, vocal tuning, session hours.
  • Deposit, tax and balance. Show what was already paid and what is left.
  • How to pay. Bank details or a payment link, and your terms.

Deposit first, balance before delivery

The most common way studios lose money is delivering the final files and invoicing afterwards. A deposit books the dates, and the balance is due before the final WAVs and stems go out. Put that in your producer agreement and repeat it on the invoice.

Frequently asked questions

What should a music invoice include?
Your name or studio and contact details, the client's name, an invoice number, the issue and due dates, each service with quantity and rate, any tax, deposits already paid, the balance due, and how to pay.
When should I send the invoice?
Send a deposit invoice when the booking is confirmed, and the balance invoice with the final preview, before the final files go out. Invoicing after delivery is how studios end up chasing payments.
How do I invoice a deposit?
Either send a separate deposit invoice first, or invoice the full amount and list the deposit as paid. The template's Deposit paid field subtracts it from the balance due.
Should I add tax to my invoice?
That depends on where you are registered and who the client is. If you charge VAT, GST or sales tax, add the rate and your tax ID. This template is not tax advice, so check the rules where you work.
What payment terms should I use?
Common terms are due on receipt, or within 7 or 14 days. Many studios also state that final files are delivered once the invoice is paid, which removes most late payments.
